Effective September 22, 2026
Farmington Meadows Homeowners Association (the “Association”) operates this website to share community information and provide approved residents with secure access to Association resources. This policy explains what information the site handles and how it is used.
When you request an account, we collect your name, email address, and neighborhood address. You may also provide a phone number. Native-account passwords are stored only as secure password hashes. Board reviewers use complete account details to confirm residency and administer access before resident-only access is granted.
If you choose Continue with Google, Google provides the site with your Google account identifier, name, email address, email-verification status, and profile-image URL. We use this information only to authenticate you, create or locate your site account, and support the Association’s account-approval process. The site does not request access to Gmail, Google Drive, Google Calendar, contacts, or other Google services, and it does not store Google access tokens or refresh tokens.
The site and hosting server may process IP addresses, browser and device information, timestamps, requested pages, cookies, and security events for session management, fraud and abuse prevention, troubleshooting, backups, and audit logging.
The board can review successful sign-ins, page views, link clicks, and resource opens to understand site use and improve shared resources. Activity includes a timestamp, the request’s IP address, and, when signed in, the account holder’s name. Public activity has no account name, but its IP address is visible to the board. IP addresses may be shared or change and do not identify a person by themselves. Approximate countries are looked up locally using a downloaded database; visitor IPs are not sent to a geolocation service automatically. Board members may open an external IP lookup link, which sends that selected IP address to iplocation.net. This usage history does not store device fingerprints, form contents, private message text, or authentication and invitation links. Link-click measurement depends on browser support and may be incomplete.
Anonymous suggestions intentionally do not ask for or store an account identifier, name, email address, or contact information. Standard server logs may still contain technical request information such as an IP address and user agent.
Approved resident areas may contain Association documents, property information, leadership information, and a homeowner directory. The directory is not public: only approved accounts can access it. Every neighborhood street address is listed. Each account holder separately chooses whether their name, email address, and phone number are shown to other approved residents; those fields are hidden by default. Board reviewers can access complete account details regardless of directory choices when needed for residency verification and site administration.
We use information to:
We do not sell personal information, use it for targeted advertising, or use Google user data for advertising or training artificial-intelligence models.
Information may be handled by service providers that support hosting, email delivery, authentication, backups, and security, subject to their applicable terms and safeguards. We may also disclose information when required by law, to protect the Association or its residents, or with the affected person’s direction or consent.
The site uses essential cookies for authentication, security, session continuity, and cross-site request-forgery protection. The site does not currently use advertising cookies.
We retain account and audit information for as long as reasonably needed to operate and secure the site, administer the Association, meet recordkeeping obligations, and resolve disputes. We use encrypted network connections, access controls, approved-account boundaries, password hashing, backups, and server security controls. No internet service can guarantee absolute security.
You may use a native account instead of Google login. After approval, you must confirm your directory choices before entering the resident portal. You can change your address, phone, and per-field directory choices from the account page at any time. You may also request account correction or deletion. Some records may be retained when required for security, legal, or Association recordkeeping purposes. Revoking this site’s access from your Google Account stops future Google authentication but does not automatically delete the site account already created.
This site is intended for adult homeowners, residents, and authorized Association participants. It is not directed to children under 13.
We may update this policy as the site or Association practices change. The effective date above identifies the latest revision.
